AI and process audit

Find out exactly where AI and automation will pay off in your company, and where they won't. Then decide what to do next, with a clear plan in your hands.

The problem

"We should use AI." But where?

Most companies we talk to have heard the same thing from the board, a competitor or a conference: you need to use AI. Nobody has said where, how, or what it is worth.

So the ideas pile up. Someone wants a chatbot. Someone else wants a new CRM. A vendor offers a platform that promises to do everything. Meanwhile your team still copies the same data between tools by hand every day, and a simple question about sales takes days to answer.

The audit fixes the order of things. Before you buy a tool or start a project, you find out how work really flows through your company, where time and money leak, and which changes are worth making first. AI on top of a messy process gives you a faster mess. We look at the process first, then add AI where it genuinely helps.

It is built for companies of 10 to 200 people: big enough to have real processes and several systems, small enough that nobody has the time to step back and map them. You don't need a technical team. Most of our clients don't have one.

How it works

What happens during the audit

Four steps, over 1 to 2 weeks. You know the scope and the price before we start, and nothing changes them along the way.

Step 1

Interviews

We talk to the people who do the work, not just management. Sales, operations, finance, customer service. They know where the workarounds are, which spreadsheet holds everything together, and which task eats their Friday afternoon.

Step 2

Process mapping

We map your key processes as they actually run: sales, operations, finance, customer service and reporting. Not the version in the handbook. Each step shows who does it, which tool it happens in, and what gets passed on.

Step 3

Tools and data review

We review the tools and data you already have: your e-shop, ERP, CRM, accounting, analytics and spreadsheets. Often the answer is to connect what you own, not to buy something new.

Step 4

Finding the leaks

We find the bottlenecks, the manual work and the decisions made without data. Then we weigh each one: what it costs you today, what fixing it would take, and whether AI, simple automation or a process change is the right fix.

Deliverables

What you get

Three things you can use the day the audit ends, whether or not you work with us afterwards.

A process map

A clear picture of how work actually flows through your company. It shows where information gets typed twice, where it waits, and where it gets lost. Many clients find the map useful on its own, for onboarding and for settling old debates.

A prioritised roadmap

A ranked list of improvements, each with its expected effort and benefit. What to automate, where AI genuinely helps, which systems to connect, and what to leave alone. You see what each change is worth before you commit to any of it.

Quick wins

Changes you can act on straight away, with or without us. Some are small settings in tools you already pay for. Some are a better way to hand work from one team to the next.

Fixed scope and price, agreed upfront. Usually 1 to 2 weeks.

After the audit

Build with us, or with anyone else

The roadmap is yours. It is written so that any competent team can pick it up: your own developers, another supplier, or us. There is no lock-in and no obligation to continue.

If you want us to build it, we start with the highest-value items, measure the result, and only move to the next step when the last one has paid off. Typical next steps are an assistant that lets your team ask your data questions in plain English, or automations and integrations between the systems you already use.

Data and regulation

GDPR and the EU AI Act, in plain words

We are based in the EU, in Athens, and we design with GDPR in mind from the start. Where the roadmap touches personal data, it says so, and it says which options keep data in the EU and out of model training.

The EU AI Act sets rules according to how an AI system is used. Most business uses, like drafting replies or summarising reports, carry light duties such as telling people when they are dealing with AI. Some uses, like screening job applicants, carry much heavier ones. The audit flags any item on your roadmap that needs extra care, so you don't find out later. We are engineers, not lawyers: for a formal legal opinion, you still need your own counsel.

Why engineers, not slide decks

We know what it takes to build

Over 20 years of building business software. We recommend only what we know how to build, so every effort estimate on your roadmap comes from people who have done the work.

We run our own software

Since 2014 we have built and run Shopify apps used by merchants around the world, plus our own products, BootForm and Chordastic. We know what software costs to keep running, not just to launch.

Small, senior, direct

No account managers and no handoffs. The people who interview your team are the people who write the roadmap, and the people who would build it.

Questions

How much does the audit cost?

The audit has a fixed price, agreed before we start. It depends on how many teams and processes are in scope, which we settle together on the free call. Once agreed, it doesn't change.

How much of our team's time does it take?

Mostly short interviews with the people who do the work, plus a little time from whoever knows your tools and data. We plan the interviews around your week, so day-to-day work keeps moving.

What if the audit finds AI isn't the answer?

Then the roadmap says so. Often the best fix is a simple automation, a connection between two systems, or a change in who does what. We recommend AI only where it genuinely pays off.

Can we skip the audit?

If you already know exactly what you need, yes. We'll still ask enough questions to make sure we build the right thing.
